Track your application from accepted to move-in
Once a host accepts your application, the formal stuff (viewing, contract, signing, payment, move-in) happens on the Track Application page. Here's the full pipeline.
What Track Application is
Track Application is the structured side of the deal. It's separate from chat: chat is for conversation and informal questions, Track Application is for the actual paperwork, viewing scheduling, contract upload, signing, payment, and move-in approval. Every state change drops a status card into chat so you don't miss it, but the doing happens on this page.
You reach it from the chat where you applied. After the host accepts, the chat's Apply button changes to Track Application; tap it.
The pipeline without a reservation contract
For most direct rentals (no reservation phase), the pipeline is:
- Application Sent, your application has been submitted.
- Application Viewed, the host opened it.
- Application Accepted, the host accepts and the formal phase begins.
- Rental Contract Sent, the host uploads the lease.
- Rental Contract Signed, every party signs via DigiSign.
- Rental Payment Made, you upload evidence of the first payment.
- Rental Payment Confirmed, the host confirms it landed.
- Moved In, lease begins; pipeline closes.
The pipeline with a reservation contract
Some hosts (especially for higher-demand units) use a reservation contract and a reservation fee (typically about one month's rent) to lock the unit before the lease starts. When this applies, a Reservation phase runs first:
- Upload & Send Reservation Contract (host)
- Reservation Contract Viewed (you)
- Reservation Contract Signed (you, via DigiSign)
- Reservation Payment Made (you upload evidence)
- Reservation Payment Confirmed (host)
After the reservation phase completes, the rental phase (steps 4–8 above) begins automatically.
Spare-room pipeline (simplified)
When you're moving into a spare room with a verbal agreement (no formal lease), the pipeline collapses to three steps: Accepted, Payment, Moved In. No contract upload, no signing, no DigiSign envelope. The host uses this when there's no written lease and they want a record of when payment changed hands and when you actually moved in.
Squads: per-member tracking
When a Squad applies for a property, the Track Application page gets two tabs:
- Squad Overview, a roster of every member with badges and document status.
- Track Application, the pipeline.
Steps that need each member to act separately (sign contract, upload payment) show a counter, e.g. Rental Contract Signed (2/3). Steps that are owned by the host or the captain show a single status.
You vs. the host
Each side sees different buttons at each step. As a tenant, your actions are: download contract, sign contract, upload signed PDF (when not using DigiSign), upload payment evidence, confirm move-in. The host: upload contract, confirm payment, approve move-in. The button you see on the current step is the one you're expected to act on.
If a step stalls
Track Application sends reminders when an action you owe is older than 48 hours, and when an action the host owes is older than 5 business days. You can always go back to chat for a softer nudge. Truly stuck contracts can be moved off-platform and signed manually; upload the signed PDF back into the pipeline to keep the audit trail intact.
Step-by-step
- 1
Open Track Application from chat
10 secondsOnce your application has been accepted, the Apply button in your chat header changes to Track Application. Tap it.
- 2
Scan the timeline
30 secondsCompleted steps show a checkmark + date. The current step has an action panel below it. Future steps are greyed out. There's no need to click into every step, only the current one is interactive.
- 3
Act on the current step
VariesThe action panel shows what's owed. Common actions: Sign Contract (opens DigiSign), Upload Payment Evidence, Confirm Move-In. Most actions take under two minutes.
- 4
Watch for notifications in chat
OngoingEvery state change drops a notification card into the property chat. If something updates while you're not looking at Track Application, you'll see it in chat.
- 5
Squad members: check your row
10 seconds per memberSquad Overview shows your row alongside everyone else's. A red dot on your row means there's an action you specifically owe; the counter on the step (e.g. 2/3) tells you how many of your Squadmates have already done it.
Frequently asked questions
What if the host stops responding mid-pipeline?
After 5 business days of inactivity on a step the host owes, you'll see a Send reminder button next to the step. Use it. If another 5 days pass with no response, message support@domuhq.cz with your application ID and we'll escalate or unlock the next step manually.
Can I sign offline and upload the signed PDF instead?
Yes. For non-electronic signing, both parties print + sign + scan, and you upload the signed PDF in the Sign Contract step. You lose the DigiSign audit trail but keep the rest of the pipeline working.
I paid offline (bank transfer). What counts as evidence?
A bank statement screenshot showing the transaction (date, amount, recipient) is fine. Crop out other transactions for privacy. The host needs to confirm receipt on their side before the step closes.
